This policy sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us and controlled by the relevant body’s relating to that department. For the purpose of the Data Protection Act 1998 (the Act), the data controller is Woodfords Garage Burnham Llp, 38 Maldon Road, Burnham on crouch, Essex, CM08NS.

Information We May Collect From You
We may collect and process the following data about you:

  1. If you contact us, we may keep a record of that correspondence.
  2. CCTV will be stored for the purpose of Customer Safety, Staff Safety and the elimination of theft on the premises. CCTV will only be accessible to company partners and the police, in the event of a crime.
  3. Details of site maintence visits to our site are logged in a sign in sheet. These are kept on file.
  4. Customer information and document photo copies taken for vehicle hire are kept on file on the premise for 1 year, then they are held in secure storage for a further 6 years. After this period the files are disposed of by a professional shredding company.
  5. Card details in relation to vehicle hire deposits are kept on file until the vehicle returns, once the vehicle has been checked back in and we are satisfied that no damage or misuse has occurred a refund to the value of the deposit will be made and the details will be shredded.
  6. Vehicle hire information will only be shared with our insurance company at their request. Please see Sentinel Insurance Solutions website for further information.
  7. Hire customer information will also be shared with one of our excess waiver company’s which are Bettersafe and Insure Car Hire.
    Again information about these companies privacy policies can be found at the above websites. We will also share information with the police at their request if a criminal offence has taken place, or third-party insurance company in the event of an accident.
  8. Working on behalf of Maldon district council, Woodfords garage have been asked to request customers fill in an address form, this is for the purpose of customers collecting recycling supplies. This information is passed onto Maldon district council and then our copies are shredded.
  9. When purchasing a new Calor gas bottle, customers will be asked to fill in a form/book this information is requested by Calor gas. The information in the Calor gas book will be forwarded on to Calor gas again at their request. Please see there website for details of how they store your information.
  10. When purchasing red diesel customers will be asked to fill out a disclaimer stating that the diesel will not be misused, the customer’s name and address will also be taken as well as a signature. This information will be then used to fill in a registered dealer in controlled oils (RDCO) return and sent off to HM revenue and customs. The hard copy of this information will be kept on file at the premise for 7 years in secure storage. After this period the files are disposed of by a professional shredding company.
  11. Information obtained for the workshop i.e. Name, address, telephone numbers etc will be used for the sole purpose of bookings, quotations, job sheets and invoices. This will be stored on our password protected garage data system. We will also use this information to send out mot reminder cards, which we ask customers to fill in with their details giving permission for information to be stored. If a customer wishes for us to remove their data at any time they may do so in writing to: Workshop, 38 Maldon Road, Burnham on Crouch, Essex, CM0 8NS. Once we have received this we will delete the relevant information.
  12. Vehicle finance forms are filled in and signed by the customer then shared with the relevant finance brokers. Customers will only be contacted by the broker and the direct lender, none of their details will be used for the purpose of marketing and junk mail. Where We Store Your Personal Data
The data that we collect from you may be transferred to, and stored at, a destination outside the European Economic Area (“EEA”). It may also be processed by staff operating outside the EEA who work for us or for one of our suppliers. All information you provide to us is held in secure storage for a period of 7 years then disposed of with a professional shredding company. Any information stored on our garage data system will be held indefinitely, or until the customer requests otherwise. As previously mentioned the garage data system is password protected and only accessible by management and partners for the purpose of MOT reminders, quotations, Job sheets and invoicing. Customer information will not be used for any other forms of marketing and junk mail.

Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our website, any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

We use information held about you in the following ways:

We will then keep a record of the purchase for the next 7 years, this will be stored in a secure location. Once the 7 years has passed all information will be shredded using a licenced company.

  4. Our website does not offer account options, this means that you will be required to check out as a guest every time you make a purchase.

We may collect information about your computer, including where available your IP address, operating system and browser type, for system administration and to report aggregate information to our advertisers. This is statistical data about our users’ browsing actions and patterns, and does not identify any individual. For the same reason, we may obtain information about your general internet usage by using a cookie file which is stored on the hard drive of your computer.
